PhoneTap describes its pricing as a flat rate based on annual revenue rather than a per-seat or per-minute charge. Exact tiers and dollar amounts are not publicly listed, so the quote must establish what the flat rate actually includes across brands, locations, historical calls, recording volume, alert destinations, and ServiceTitan writeback.

The March 2026 terms allow monthly or annual paid subscriptions billed in advance, with fees generally non-refundable except where law or the agreement requires otherwise. They do not publish a minimum price, setup fee, recording allowance, overage, renewal increase, trial, service credit, or detailed customer cancellation process. The signed order should settle those points and give the operator reciprocal clarity on termination, transition support, and the timing and format of export and deletion, particularly because the standard terms give PhoneTap broad termination rights.

The best commercial comparison pairs subscription cost with the recovery process it enables. Staff time, alert accuracy, contact rate, booking conversion, completed jobs, and recovered revenue all belong in the ROI view. Data and retention

PhoneTap handles a sensitive operating record: call audio and transcripts, metadata, AI classifications, booking and job information, and integration credentials. Its June 2026 privacy policy describes encryption in transit and at rest, access controls, and regular audits. It does not name an independent security certification or report, so a security review should establish the current assurance package rather than infer one from those general controls.

During an active agreement, audio, metadata, transcripts, classifications, and booking and job data may remain in private-access storage for the duration of the agreement. PhoneTap says its transcription provider does not retain raw audio and that payment-card details are redacted during transcription. OAuth tokens are deleted when the associated integration is disconnected.

After termination, a deletion request, or the end of the ServiceTitan partnership, tenant and ServiceTitan data is deleted within 30 days, subject to legal and dispute exceptions. Backups use a seven-day point-in-time rotation. Customers retain ownership of their data, and PhoneTap states that it does not sell that data.

Those published rules give the buyer a useful starting point, while the contract should still resolve the DPA, subprocessors and model providers, training use, data location, roles and access, SSO, incident commitments, and any current SOC 2 or ISO material. The contractor also remains responsible for lawful call recording, disclosure, and transfer, including the rules of connected systems. That governance belongs in the rollout from the beginning because the product's value depends on broad and dependable access to real customer conversations.

Customer examples

PhoneTap's customer evidence illustrates the two sides of its value: recovering individual opportunities and finding patterns across an organization.
